Outstanding transaction filter, you may ask, what is that? Do I have that in my QuickBooks Online Program? The short answer is yes, you do. You may never have a need for it, but it is good to know it is there. It is like that filter the check register trick that my daughter taught me, sometimes these things are there all the time and you never see them. Till you need them. See more posts on hidden things here.
Outstanding transaction filter: What is it for?
I happened upon this one while pricing out a job for a customer that manufactures items and sells them wholesale to another company. She creates lots of these “widgets” and the buyer wants an invoice for each! She has, at any given time, over 450 of these open invoices for these widgets she sells. Whoa!
Outstanding transaction filter: Where is it?
It is on the +receive payment window. Worked perfectly for her issue. This buyer pays her once per month for the entire prior month’s invoices. By the time the payment comes in, she may have upwards of 800+ open invoices. This “hidden” trick will help you to process the payment from the customer quickly. It is located on the + receive payment window. You can see the exact location on the video.

Outstanding transaction filter: Why use it?
To quickly access all of the invoices available for the month and enter the payment. Instead of hunting and searching a massive list, this feature will narrow down the exact list and you can click the global checkmark to select all. Sweet! One click and done makes bookkeeping efficient!
Making the list manageable….
Is how you streamline the process. Her list was unmanageable without it. Somehow, she created new invoices out of numerical order. And the columns are fixed in the receive payment window. This shrunk down the selection and made it work for her processes.
Super-excited to share that I am part of the Intuit Advisory Council. Read about it’s purpose here. And the official blast from the CEO, Brad Smith on my appointment here. I will be meeting with many “thought leaders” in the industry. Learning new stuff is where it’s at! 🙂
